Privacy Policy

1. Overview

This Privacy Policy explains what information the J.A.R.V.I.S. Discord bot and web dashboard ("the Bot", "we", "us", "our") processes, why, and your choices. The Bot is operated by Midnight Ghosts group. By using the Bot you agree to this policy.

2. Information We Process

• Discord identifiers — user, server (guild), channel and role IDs, and usernames, as provided by Discord when you interact with the Bot. If you sign in to the dashboard, we process your Discord account ID and the list of servers you manage.
• Message content — messages are scanned for the moderation features a server enables, and messages that mention or reply to the Bot are processed to generate a response. Limited conversation history and optional "memory" facts may be retained to provide context; these can be cleared (see Your Choices).
• Server feature data — data created by the features a server uses, such as economy balances, experience/levels, moderation case records, tags, giveaways, tickets and feed subscriptions, stored per server.
• Your API keys (BYOK) — if you provide your own third-party API keys (e.g. OpenAI, Tavily, ElevenLabs), they are stored encrypted at rest and used only to call those services on your server's behalf.
• Configuration & operational logs — settings you choose, per-user daily usage counters, and limited logs such as dashboard login history and audit events used to run and secure the Service.
• Subscription data — if you subscribe to Premium, we store your server ID, subscription status and renewal date. Payments are processed by Discord or Stripe; we do not receive or store your full payment-card details.

3. How We Use It

Information is used solely to operate and provide the Bot's features — responding to your requests, performing the moderation and utility actions a server configures, granting Premium to paying servers, and maintaining the security and reliability of the Service. We do not use it for advertising and we do not sell it.

4. Third-Party Processors

To provide certain features, limited data is shared with service providers that act on our behalf or that you choose to use:

• Discord — the platform the Bot runs on, and one of the payment options (privacy policy).
• OpenAI — content you send to AI features is transmitted to OpenAI to generate a response (privacy policy).
• Stripe — processes website subscription payments; your card details are handled by Stripe, not us (privacy policy).
• Content sources — for feed alerts, the Bot fetches public data from services such as YouTube, Twitch and RSS providers.
• Optional integrations — if a server provides keys for services such as Tavily (search) or ElevenLabs (voice), relevant data is sent to those providers to run the feature.
• Hosting provider — the Bot and dashboard run on cloud infrastructure that processes data on our behalf to operate the Service.

5. Data Retention

Configuration, feature data and any saved memory are kept until you or your server administrator remove them, remove the Bot, or ask us to delete them. Daily usage counters reset each day. Operational logs are kept only as long as needed to run and secure the Service.

6. Security

We take reasonable measures to protect the information we process, including encrypting stored API keys at rest. No method of transmission or storage is fully secure, and we cannot guarantee absolute security.

7. Your Choices & Rights

You can stop all processing by removing the Bot from your server or ceasing to interact with it. Within the Bot and dashboard you can clear AI memory and conversation history, remove stored keys, and reset feature data. You may also request access to, or deletion of, data associated with your Discord ID using the contact below. Removing the Bot from a server removes its access to that server's data going forward.

8. Children's Privacy

The Bot is not directed to anyone below Discord's minimum age requirement, and we do not knowingly process data from such users.

9. Changes

This policy may be updated from time to time. The "last updated" date above reflects the most recent revision.
